This policy explains the nature of the personal data that we require in order to effectively provide relevant services and how our organisation uses this to deliver high quality services. Collected information
We collect the following categories of personal information from our customers, candidates, site visitors and/or if you interact with us via email or LinkedIn:

  • Customer / candidate contact information such as name, email address, mailing address, phone number and employment history.
  • Identifiers such as username, user ID, password, IP addresses.
  • We also collect the following information from our customers: Information about a customer's business such as company name, company size, business type, and contact information.
  • Demographic information of our candidates and site visitors such as age, education, gender, interests, postal code (if applicable).


We use the personal information collected from these individuals only for the following purposes:

  • Providing service to our customers as requested / agreed to by you (the customer)
  • Keeping records of customer activity.
  • Keeping records of customer information to help us administer our recruitment services.
  • Responding to a customer's service or support requests.
  • For marketing purposes.


Collected information from Third Parties
tfconnect only collects data from third parties such as job boards and CV databases, for the sole purpose of providing work-finding or recruitment services to candidates who hold an active account (used within the last 12 months) with the third-party service.
These details are collected and stored, subject to the same conditions as collected information above. These details are made available to us either by a candidate submitting an application for a job or by a candidate submitting their CV to a CV database of which we are a customer / user.

tfconnect will make all reasonable attempts to ensure that the candidates, whose data we collect in this way, are legitimately interested in using our service in order to continue storing and processing this data. We establish legitimate interest initially by contacting the candidate by email or telephone, inviting them to have an introductory conversation with us. We will do this wherever we feel we are able to provide work-finding services to the candidate even if the candidate cannot be progressed for the role they applied for.

Although tfconnect makes every effort not to contact candidates who are not interested in our services, tfconnect does not guarantee exclusion of any particular candidate from its third party data processing policy as described above, in the event that the candidate’s details are made available to us on another occasion via repeated submission, advert applications or CV database registration.

These repeat submissions will be treated as a 'new' customer or candidate unless tfconnect finds an obvious identifier to indicate that the candidate has already asked not to be included in tfconnect's communication (e.g. an excluded email address).

Contact forms
If you contact us or submit your details via the contact form on our website – we may store and process this data for the purpose of fulfilling a service i.e. tfconnect's work-finding services. Your data will be stored centrally in a sophisticated and regularly maintained CRM database. All reasonable attempts are made to ensure the safety and security of your data at all times.

In the case of tfconnect's work-finding services – your personal details including contact details, employment history, CV and references will be passed to prospective employers. We will seek your prior approval to submit this information in each case.

We will never sell your information to third parties. Personal information may be disclosed or distributed to another party with which tfconnect enters, or may enter, into a corporate transaction. If tfconnect is acquired in a merger, acquisition, or sale of all or substantially all of its assets, you will be notified via email, on our Site and/or by a prominent notice of any change in the uses of your personal information, together with the choices you have regarding your personal information. In the unlikely event of a bankruptcy, insolvency or liquidation, the database containing personal information may be treated as an asset of tfconnect and may be subject to transfer to a third party.

How to update or remove your data
Users can update personal details by contacting us via email at recruitment@tfconnect.global and tfconnect will take reasonable steps to ensure that this data has been updated in its central database.

You may ask to be removed from our database by emailing recruitment@tfconnect.global– requests for removal will be processed as soon as reasonably possible.

tfconnect reserves the right to retain any data that it is required to keep by law.

What rights you have over your data
You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Decision making
tfconnect always uses human decision-making to review, reject or progress candidate applications or CV registrations.

tfconnect is not obligated to submit any particular candidate for any particular position and reserves the right to decide, on any number of occasions and for any lawful reason (in accordance with the Equality Act 2010) that it does not wish to submit any individual for any position or to actively provide work-finding services to any given individual. This does not affect your statutory rights and you will not be prevented from making further applications.

Consent
On some occasions, we may process your personal data with your consent. When your consent is required, we will clearly indicate this (e.g. when we share your CV with external CV review partners). You have the right to withdraw your consent at any time. When you do so, we will cease to process such data.

Data protection
tfconnect takes data protection seriously and complies with GDPR in order to keep your data safe and secure. This means that we assess and minimise the risk of data breach by consolidating data and storing it in as few places as possible. We also employ secure technologies and processes in order to avoid data breach issues.

Data breaches
In the unlikely event of a data breach or data protection issue, tfconnect will first identify the scope and nature of the problem before informing any affected parties of a data breach or suspected data breach. In the event of a data breach, tfconnect will also follow the legislation set out in the GDPR and may inform the Information Commissioner’s Office (ICO) in accordance with the law.
